Indico stands for Integrated Digital Conference. As a web-based platform, Indico offers a practical solution for organizing (digital) events.

Indico was developed as an open source tool for CERN and is now also integrated into the HIFIS Event Management Platform, which is available to all Helmholtz cooperation partners. From simple seminars to more complex workshops and conferences, Indico can be used to plan and manage different types of events in a scientific context. Indico includes, for example, a review functionality for submitted scientific papers. Video conferences are also possible with Indico; these can take place via Zoom, for example.


Organizing events with Indico

Basically, three different types of events can be organized with Indico:

  • Lecture

A lecture consists of a single presentation with one or more speakers. It is a simple event type.

  • Meeting

A meeting has a defined schedule and consists of several presentations. It usually takes place on one day.

  • Conference

Conferences usually last several days and have the advantage that many sessions can be held in parallel. They also provide a review process for scientific papers. It is a complex event with many features.

All of these conference types offer a number of common features, such as:

  • Registration;
  • Participant management;
  • Surveys;
  • Integration of external collaborative tools;
  • Event reminders.

In addition, Indico offers permanent archiving of all event documentation in the system, which can be made available to participants via the event website.


Getting started with Indico

Click-by-click: Registering with the HIFIS Event Management Platform

1. Open the HIFIS Event Management Platform in your browser: https://events.hifis.net.

2. Click Login at the top right corner.

3. Select HZDR as your home institution, i.e. the institution where you already have a user account. You can type "HZDR" in the free text field or scroll down.

4. Enter your username and password for your home institution. There is no new password or username required.

5. Accept data transmissions from your home institution's identity provider (IdP) to Helmholtz AAI, and further to events.hifis.net.

6. Only if you log in the first time -- Register at Helmholtz AAI. With this registration you can also use all other HIFIS services.

7. Allow „Keycloak at DESY“ to access your data.

8. Continue with normal log-in and enjoy access to events.hifis.net.
